The basics
What exactly is NextiaInvoices?
Invoicing software for Canadian small businesses: quotes, invoices, recurring billing, payment reminders, clients and services, projects and time tracking, and a dashboard of what you have earned and what is still owed — in English and French.
Who is it for?
Freelancers, consultants, contractors, agencies and small businesses — roughly one to a few dozen people — who bill for work rather than sell inventory.
What is it deliberately not?
Not a full accounting system, payroll, inventory or bank reconciliation tool, and not a payment processor. If you need bookkeeping ready for tax time, NextiaTax covers that, and the Nextia Suite bundles NextiaInvoices, NextiaTax and NextiaBooking.
Is it the same account as NextiaTax and NextiaBooking?
Yes. One Nextia account signs you in to every Nextia product, and your clients are shared across them within your business. Each product has its own plan.
Can I import my data from another invoicing tool?
Not yet — there is no importer. You can add clients and services quickly, and export everything from NextiaInvoices as CSV for your bookkeeper at any time.
Getting paid
Does NextiaInvoices process payments?
No. It records payments and makes paying you easy, but money goes directly from your client to you. Add your own payment link — a Stripe or Square payment link, a PayPal page or any HTTPS address — plus e-transfer or cheque instructions, and it appears as a Pay now button on your invoices.
Can clients pay by card inside NextiaInvoices?
Coming soon. Connecting your own Stripe, Square or PayPal account so clients can pay an invoice online is not available at launch. Until then, use a payment link and record payments as they arrive. Card details will go to your provider, never to Nextia.
What percentage do you take of my invoices?
Zero. No percentage, no per-transaction fee — on Free or on a paid plan, which is a flat subscription. Your payment provider charges its own fees, as it does today.
How do invoices get marked as paid?
You record the payment — in full or in part, by e-transfer, cheque, card, cash or other — and the balance is tracked. You can also take deposits and send receipts.
Can different services use different payment links?
Yes. Set a business default and, optionally, a different link on a service. The link is saved on each invoice when it is issued.
Features & limits
Is there a cap on how many invoices I can send?
No. Invoices, quotes, clients and services are unlimited on every plan, Free included. Plans differ in team size, monthly email sends (50, 1,000, 5,000 or 20,000), AI actions and storage.
What happens when I reach my monthly email sends?
Emailing a document from NextiaInvoices waits until the next month, or until you move to a plan with a bigger allowance. Nothing else stops: you can still create and issue invoices, download every PDF and share each document by its secure link, without limit.
What do Starter, Pro and Business add?
Free already has every invoicing feature. Starter removes the “Sent with NextiaInvoices” line and raises your sending, AI and storage allowances. Pro adds your team: up to 5 members, roles and permissions, and an audit trail. Business allows up to 15 members, adds more headroom and priority support.
Does it handle GST, HST and QST?
Yes, and any other tax you charge. Set your rates and registration numbers, inclusive or exclusive, compound or not. Registration numbers print on your documents.
Can I invoice in US dollars or another currency?
Yes. Each invoice has a currency, and you can record the exchange rate you used. There is no live exchange-rate feed.
Can my clients see their invoices without an account?
Yes. Each invoice and quote has a secure link, and a client portal link shows a client everything you have sent them. Links can be revoked at any time.
Is there a mobile app?
Native iOS and Android apps are coming soon. The web app works on a phone today, including creating and sending invoices.
AI
What does the AI actually do?
It turns a plain-language description of your work into a draft invoice for you to review, and surfaces insights on your dashboard.
Can it send an invoice on its own?
No. AI output never issues or sends a document without your confirmation, and never changes an amount, tax, date or client by itself.
Does the AI give tax advice?
No. NextiaInvoices is not a tax or accounting adviser. For advice with consequences, talk to a professional.
What if I do not want to use AI?
Then do not. Every invoicing workflow works without it.
Plans, trial & billing
Is there really a free plan?
Yes — free forever, with no credit card and no time limit. Free has unlimited invoices, quotes and clients and every invoicing feature, for one user, with 50 email sends and 25 AI actions a month and 250 MB of storage.
What is the “Sent with NextiaInvoices” line?
On the Free plan, emails and PDFs you send carry a short “Sent with NextiaInvoices” line. Every paid plan removes it, so your documents carry only your business.
How does the free trial work?
Fourteen days, no credit card to start, with Pro features so you can try everything, including your team. Your trial status is always visible in the app.
What happens when the trial ends?
If you have not chosen a paid plan, your business moves to Free. Nothing is locked and nothing is deleted: your invoices, quotes and clients stay, and you keep invoicing within the Free allowances.
Can I go back to Free from a paid plan?
Yes. Cancel your subscription and you move to Free when the period you have paid for ends. Your data stays; the Free allowances apply from then on.
Monthly or annual?
Either. Annual costs less than twelve monthly payments — the saving is shown on the pricing page. Prices are in Canadian dollars; applicable taxes are extra.
What is the Nextia Suite?
All three Nextia apps — NextiaInvoices, NextiaTax and NextiaBooking — in one subscription, for one business. Nextia Suite Pro puts all three on Pro, for up to 5 team members; Nextia Suite Business puts all three on Business, for up to 15 team members with priority support. Each costs less than the three plans bought separately.
How is my subscription billed?
Through Stripe. Your card details go to Stripe and never touch our servers.
Security & data
Where is my data stored?
Your business data — the database and your files — is stored in Microsoft Azure’s Canada Central region. Sign-in runs on Microsoft Entra External ID; the security page explains what that holds.
Do you store my password?
No. Sign-in is handled by Microsoft Entra External ID — Google, Microsoft, Apple, or email and password. Nextia never sees your password.
Are you SOC 2 or ISO 27001 certified?
No, and we will not imply otherwise. We will claim a certification only when an audit is complete.
Can I export my data?
Yes. Export invoices, lines, payments, credit notes and a tax summary as CSV at any time.
Who at Nextia can see my invoices?
Support staff act inside a business only with a recorded reason, and every such session is audited.
