Billing & Refund Policy
How subscription billing works, in the order the questions usually arrive. This policy covers what you pay us for the software. It has nothing to do with how your clients pay you — we are never in that transaction.
1. The free trial
New accounts receive 14 days of free access with no credit card required at registration. The trial provides the full capability of the plan being tried, not a reduced demonstration version.
Your trial status and remaining time are visible in the application, and we send reminders before it ends. You can select a paid plan at any point during the trial.
When a trial ends without a paid plan being selected, your business moves to the free plan and the free plan’s allowances apply. Your data is preserved. Data is never deleted because a trial expired.
2. Plans and charges
Plans are billed monthly or annually in Canadian dollars, in advance, through Stripe. Current prices are shown on our pricing page. Annual billing is charged as a single payment for the year.
Prices exclude any sales tax we are required to collect; applicable tax is shown at checkout and on your receipt.
Your card details are entered with Stripe and are never stored on our servers.
3. Renewal
Subscriptions renew automatically at the end of each billing period at the then-current price for your plan, until cancelled. We give advance notice by email before an annual renewal, and before any price increase takes effect for you.
4. Upgrades and downgrades
You can change plan at any time from the application. An upgrade takes effect immediately and is prorated for the remainder of the current period. A downgrade takes effect at the start of the next billing period, so you keep what you paid for until then.
If a downgrade would exceed the limits of the lower plan — for example more active users than that plan allows — you will be asked to resolve it before the change is applied.
5. Cancellation
You can cancel at any time from the application. Cancellation stops future charges and takes effect at the end of the period you have already paid for; you keep access to your plan until then, after which your business moves to the free plan.
Cancelling a subscription is not the same as deleting your account. Your data remains available and you can reactivate. Account deletion is a separate request, described in the Privacy Policy and the Data Retention & Disposal policy.
6. Refunds
Because we offer a 14-day trial with no card required, we do not routinely refund subscription periods that have already begun.
We will issue a refund where:
- you were charged in error, or charged twice for the same period
- you were charged after cancelling and before the change took effect
- a defect on our side made the service materially unusable for a sustained period
- a refund is required by consumer-protection law where you live
Requests go to the billing contact on our contact page. Approved refunds are returned to the original payment method through Stripe, typically within 5–10 business days depending on your bank.
7. Failed payments
If a subscription payment fails, we notify you and retry over a grace period before any change to your access. You keep the ability to update your payment method during that window. We do not lock an account without warning over a declined card, and your data is not deleted for non-payment.
8. Price changes
We may change prices. Existing subscribers receive advance notice by email before a new price applies to them, and always at least one full billing period ahead. If you do not accept a new price you can cancel before it takes effect.
